Terms of Service

1. Acceptance of Terms

By creating an account or using SignSpot ("SignSpot", "we", "us"), you agree to these Terms of Service. If you don’t agree, please don’t use the Service.

2. Description of Service

SignSpot lets you build sign-up, registration, and feedback forms — with AI-assisted building, time-slot and shift scheduling, custom themes, response collection, optional payment collection through Stripe, and optional syncing of bookings to your Google or Microsoft Outlook calendar. Owners can also share a live view of collected responses via a link, optionally protected with a PIN.

Some features are available only on a paid plan. See "Subscriptions, Billing & Refunds" below.

3. Eligibility

You must be at least 13 years old to use SignSpot. If you’re under 18, you need a parent or guardian’s consent. You must be of legal age to enter binding contracts in your jurisdiction to use any payment-related features.

4. Accounts & Security

You’re responsible for the accuracy of your account information and for keeping your login credentials confidential. Notify us right away if you suspect unauthorized access to your account.

5. Acceptable Use

Don’t use SignSpot to unlawfully collect personal data, to harass or spam people, or to build forms for illegal purposes. If you use the respondent-messaging feature, you’re responsible for having a lawful basis to contact those people.

6. Your Content & Form Data

You own the forms you build and the responses you collect. SignSpot hosts and processes that content on your behalf so the Service can function — we don’t claim ownership of it, and we don’t use your respondents’ data for our own purposes beyond operating the Service.

7. AI Features

SignSpot’s AI chat helps you build forms faster by turning your description into questions, time slots, and styling. Prompts you type are sent to a third-party AI provider for processing. Please don’t paste sensitive personal data (like passwords, government ID numbers, or financial details) into the AI chat.

AI usage is metered. Each plan includes a daily and weekly allowance of AI tokens; once it’s used up, AI features pause until the window resets.

8. Subscriptions, Billing & Refunds

SignSpot offers a free tier and a paid Premium plan, billed monthly or annually through Stripe. New accounts include a time-limited free trial; when it ends, the account moves to the free tier unless you subscribe.

Paid plans renew automatically at the end of each billing period at the then-current price, until you cancel. You can cancel at any time from your Account settings; cancellation takes effect at the end of the period you’ve already paid for, and you keep Premium access until then. We don’t provide automatic pro-rated refunds for partial periods, but you can contact us and we’ll consider refund requests case by case.

If your plan lapses or you downgrade, features tied to Premium stop and your form allowance returns to the free-tier limit. If you have more forms than the limit allows, we’ll ask you to choose which ones to keep — the rest move to Trash rather than being deleted outright. Forms you already published keep collecting responses.

We may change prices with advance notice. Price changes never apply to a billing period you’ve already paid for.

9. Payments You Collect From Respondents

Payment collection is powered by Stripe Connect. You connect your own Stripe account to collect payments from your respondents — SignSpot is not a party to those transactions and never sees full card details. You’re responsible for complying with Stripe’s terms and any laws that apply to the payments you collect, including issuing refunds to your respondents.

10. Calendar Integrations

You can optionally connect a Google Calendar or Microsoft Outlook calendar so that bookings made through your forms appear on it. Connecting is entirely your choice, and you grant that access through Google’s or Microsoft’s own consent screen.

Once connected, SignSpot may create events on the calendar you choose, update them when a booking changes, and remove them when a booking is cancelled. We only touch events that SignSpot created for your bookings — we do not read, modify, or delete your other calendar entries.

You can disconnect the calendar at any time from your Account settings, and you can also revoke access directly in your Google or Microsoft account security settings. Disconnecting stops future syncing; it does not remove events already created.

11. Respondent Communications

If you message your respondents by email or text from SignSpot, you’re responsible for having their consent and for complying with applicable anti-spam and communications laws.

11a. Text Message Reminders

If a form asks for a phone number and its owner has turned on text reminders, the person filling it in may tick an optional box to receive reminder texts about that booking. The box is never pre-ticked and is never required to complete a booking.

Reminders are sent by SignSpot, not by the form owner, and every message identifies SignSpot as the sender. Message frequency depends on how many reminders the form owner has scheduled for that booking — typically one or two. Message and data rates may apply.

Reply STOP to any reminder to stop receiving them. Reply HELP for help. Opting out stops the texts; it does not cancel the booking itself, which is cancelled using the link in the confirmation email.

Reminder texts are currently available to United States phone numbers only. Where a number cannot receive them, reminders are sent by email instead.

Form owners may customise the wording of the reminder their form sends, but the sender identification and the opt-out instruction are added by SignSpot and cannot be removed or altered. Owner-written wording is screened against mobile carrier content rules, and we may refuse or stop sending a message that breaches them.

12. Sharing & Public Links

Live-results links (and their optional PIN) are only as private as who you share them with. Treat them like any other credential — don’t post an unprotected results link somewhere public if the responses are sensitive.

13. Support Access to Your Account

Our staff can see limited account information to provide support — things like your plan, when you last signed in, and how many forms and responses you have. Staff cannot read your form questions or your respondents’ answers as part of ordinary support.

If we need to look at one of your forms to help you, we have to ask, and you have to approve it from your Account settings. That access is limited to the single form you approve, expires automatically, and you can withdraw it at any time. Your respondents’ answers are never included, even while access is active.

14. Suspension & Termination

You may stop using SignSpot and delete your account at any time from Account settings. Deleting your account removes your forms, responses, and uploaded files, and cancels any active subscription.

We may suspend an account that violates these Terms or that we reasonably believe is being used unlawfully. Depending on the situation, a suspension may block sign-in only, or may also take published forms offline. We may terminate accounts for repeated or serious violations. Where practical and lawful, we’ll tell you why.

15. Disclaimers & Limitation of Liability

SignSpot is provided "as is" without warranties of any kind. To the fullest extent permitted by law, SignSpot isn’t liable for indirect, incidental, or consequential damages arising from your use of the Service.

16. Indemnification

You agree to indemnify SignSpot against claims arising from your use of the Service, your form content, or your violation of these Terms.

17. Governing Law

These Terms are governed by the laws of the State of Utah, United States, without regard to conflict-of-law principles.

18. Changes to These Terms

We may update these Terms from time to time. Continued use of SignSpot after a change means you accept the updated Terms.
